About the role

We are seeking a motivated and detail-oriented administrative assistant to support our daily operations, including sales, marketing, procurement, services and general office management. This is a pivotal role within our expanding team, ideal for individuals who thrive in dynamic, international environments, enjoy acquiring new skills, and take pride in maintaining an organised and efficient workplace. You will play a vital part in organising daily administrative tasks, coordinating communication between team members and clients, and ensuring the smooth running of business operations across all departments.

Main tasks
  • Support daily administrative operations and ensure smooth internal coordination.
  • Provide translation support for communication with suppliers, contractors and clients.
  • Prepare and manage business documentation, reports and meeting materials.
  • Handle basic bookkeeping and maintain accurate records in collaboration with our external accountant and service providers.
  • Assist with business development activities, including outreach to local contractors and stakeholders, and follow up on potential leads.
  • Maintain strong relationships with local partners and contractors.
  • Conduct research and gather information to support ongoing business initiatives.
About you
  • Language proficiency: Fluent in both Japanese and English, with excellent written and verbal communication skills.
  • Experience: Previous administrative or office experience would be an advantage, but is not essential — we value potential and a willingness to learn.
  • Organisation: Ability to multitask, prioritise and manage time effectively in a fast-paced environment.
  • Attention to detail: A high level of accuracy and consistency in all work.
  • Proactive mindset: Ability to work independently, take the initiative and anticipate the needs of the team.
  • Problem-solving: A positive and proactive approach to identifying and resolving issues before they escalate.
  • Bookkeeping: Basic understanding of bookkeeping principles or familiarity with accounting software (training will be provided).
